If your company has been lucky enough to win a contract with the government, you should be able to comply with the Defense Contract Audit Agency. If you comply with this agency, you will continue winning more contracts, and your company will grow. More so, you will not face any compliance issues. For your company to show compliance, it has to have procedures and policies that are documented and strictly followed. Also, you must have a system that will help you to track your labor charges per hour. There are critical steps you should follow to ensure that you and your company are DCAA Compliant to avoid problems during auditing.

Firstly, you should make sure that you are tracking your time. There are guidelines that DCAA requires all companies to use to track their time. This is critical whether you are working with the government or not. Therefore, employees should clock in at all times. Also, you should allocate correct hours for projects and ensure that the unpaid time is recorded. Employees should also be aware of everything.

The second thing you should know is that you ought to be straightforward. Therefore, everything you do should be clear. In time tracking, everyone is important, including the foremen, managers, and supervisors. Therefore, all the timesheets should be accurate and legible. Therefore, to make sure that the records are clear, it is advisable to use digital means.

Additionally, you should be in control of the labor costs. This is not like buying materials where there are receipts. Paying people is different, and it should be kept under control. Therefore, the logs should be accurate. To do this, it is wise to have daily reminders and ensure that every entry that is made is logged automatically and stamped. This is inclusive of revisions.

Additionally, you should get rid of the filing cabinet and use digital means. This is because keeping the hard copies of the time cards is hard as some documents may go missing. Thus, you can make your filing, and storing job to be easier and accurate. Also, you can retrieve them within seconds, no matter where you are.

Always keep an eye on overtime, especially if you are working on a government contract. Make sure that you track all the hours that employees put in their work. This is critical whether they will be paid for the extra hours or not. This is because the agency calculates the cost of the entire project based on the total number of hours you and your team work.

Additionally, ensure that you have synced the timesheets and payrolls. Before you start to work in any government contract, make sure that your accounting system is up to date. If you have no idea how to sync the payrolls and timesheets, you should get advice from the experts.

Additionally, always stay ready for inspections as they can come at any time. Sometimes the agency may announce their coming, but this may not happen all the time. Thus, always be prepared and make sure that all your documents are updated. This will help you to avoid any issues of noncompliance.
